RESERVATION CONDITIONS

GUARANTEED RESERVATION
In the case of a guaranteed reservation, i.e. confirmed by credit card, bank transfer, or cash – a payment of 50% of the package/stay value is always required, depending on the documents received by Guests from Głęboczek Vine Resort&Spa.

CANCELLATIONS
In the event of cancellation of a stay for which a confirmation payment has been received – the paid money is non-refundable. However, Głęboczek Vine Resort&Spa may offer another convenient date for the stay within 30 days subject to the availability of free rooms, with notification no later than 7 days before the planned arrival. If the reservation concerns long weekends and holidays, the paid money is non-refundable and cannot be used for another reservation. In case of shortening the stay during its duration, no refund of the payment made is possible.

OBLIGATIONS
The Guest is obliged to settle the full or remaining payment for the package/stay at check-in. Upon refusal, the Receptionist must refuse to issue the room key. For additional services ordered during the stay, the Guest is obliged to settle the payment at Reception if the amount exceeds PLN 1000.

ADDITIONAL INFORMATION
The hotel reserves the right to request advance payment in case of first-time Guests. In case of refusal, the Receptionist must refuse to issue the room key. The Receptionist may ask for the bill to be settled earlier than the departure if the bill exceeds PLN 1000. In the case of tobacco smoke odor in the Guest's room, the Guest will be charged a disinfection and deodorization fee of PLN 900.


HOTEL REGULATIONS
  • Hotel guests are required to show a photo ID to the Reception staff before check-in. In case of refusal to present a document that allows check-in, the Receptionist must refuse to issue the room key.
  • Rooms are rented per night. The hotel day lasts from 3:00 PM on the day of rental until 12:00 PM the next day. If the Guest does not specify the length of stay when renting a room, it is assumed that the room was rented for one night.
  • A request to extend the stay beyond the period indicated on arrival should be reported to Reception by 10:00 AM on the day the rental period ends. However, this does not obligate the hotel. The hotel will consider the request subject to room availability.
  • Remaining in the room or leaving belongings after 12:00 PM is treated as a stay. If the Guest leaves the room after 12:00 PM, the hotel's computer system will charge half-day rental fee.
  • The hotel Guest may not transfer the room to other persons, even if the hotel day for which payment was made has not expired.
  • Unregistered persons may stay in the hotel room from 7:00 AM to 10:00 PM.
  • Presence of unregistered persons in the Guest's room after 10:00 PM is equivalent to the Guest agreeing to paid accommodation of these persons in the room. Accommodation of each person is charged according to the additional bed price from the price list available at the hotel reception.
  • Night silence is observed in the hotel from 10:00 PM to 6:00 AM the next day.
  • During night silence, Guests and persons using hotel services must behave in a manner that does not disturb the peace of other Guests.
  • The hotel Guest bears full material and legal responsibility for any damage or destruction of hotel equipment caused by themselves or visitors.
  • For fire safety, it is forbidden to use heaters, irons, and other electrical devices not belonging to the room equipment. This does not apply to chargers and power supplies for RTV and computer devices.
  • Open fire without hotel management consent is prohibited on the premises.
  • Guests must check the room door is locked when leaving the room. Hotel liability for loss or damage of items brought by the Guest is regulated by Civil Code Articles 846-849 and is limited if items are not deposited at reception. The hotel may refuse to hold money, valuables, or items of scientific or artistic value if they threaten safety or exceed size or standard limits.
  • The hotel provides services according to its category and standard. Guests are requested to report any service quality complaints immediately to Reception for the hotel to respond.
  • Breakfast and buffet meals are served in the hotel restaurant at designated times. Kindly do not take food outside the restaurant. Room service ordered additionally is an exception.
  • The hotel reserves the right to prohibit Guests from bringing food, alcoholic and non-alcoholic drinks onto the resort premises for consumption.
  • Personal items left in the room by departing Guests will be sent at their expense to the address provided. If no instruction is given, the hotel will store items for 3 months, then donate them to charity or public use.
  • If the regulations are violated, the hotel may refuse further service to the violating person, who must immediately comply with staff requests, settle due payments, pay for damages, and leave the hotel premises.
  • In cases of tobacco smoke odor in the Guest's room, a disinfection and deodorization fee of PLN 900 will be charged.
  • The hotel may refuse admission to a Guest who has grossly violated hotel regulations during a previous stay causing property damage or disturbance.

Rules for Purchasing and Redeeming Vouchers at Głęboczek Vine Resort&SPA

1. The rules apply to the following vouchers:

a. Purchased directly at the hotel reception,

b. Purchased via email,

c. Purchased by phone combined with email,

d. Purchased via the website www.gleboczek.pl, hereinafter referred to as vouchers

2. Each of these purchased vouchers is subject to the following terms,

3. Each voucher has a defined validity period of maximum 12 months,

4. Vouchers are acquired as per the methods in point 1 and are issued only by authorized sellers,

5. The hotel redeems vouchers subject to room availability,

6. Vouchers are not valid during hotel packages organized during holidays or long weekends, such as:

Valentine's Package

Easter Package,

May Long Weekend Package,

Corpus Christi Package,

Wine Harvest Package

Halloween Package,

Christmas Package,

New Year's Eve Package,

Exceptions are monetary vouchers – individual arrangements with hotel reception.

DAY SPA vouchers are valid Monday to Friday, subject to availability.

  1. Expired vouchers cannot be redeemed or extended,
  2. Voucher validity cannot be extended,
  3. Each voucher must be confirmed at redemption by a reservation confirmation,
  4. The Guest must have the original voucher, show it at check-in, and hand it to hotel reception staff,
  5. Vouchers are redeemed according to the conditions described therein,
  6. Each voucher is valid for one-time use only,
  7. Voucher cannot be exchanged for cash,
  8. Purchased voucher is non-refundable,
  9. Hotel may refuse voucher redemption if damaged or unreadable,
  10. Voucher purchaser/user declares having read, accepted, and agreeing to abide by these terms,
  11. Hotel reserves the right to change the rules,
  12. The terms are considered accepted upon voucher payment,
  13. Receipts or invoices will be issued according to the service type and voucher type.
TERMS AND CONDITIONS FOR MAKING ACCOMMODATION RESERVATIONS ONLINE (hereinafter "TERMS")

GENERAL PROVISIONS

  1. These Terms define the type, scope, conditions, and rules for making, canceling, modifying, and settling reservations through electronic service provided by the Service Provider (as defined in point 2) for the Client (as defined in point 2).
  2. These Terms are referred to in Article 8 para. 1 point 1) of the Act of July 18, 2002 on Electronic Services.
  3. The Service Provider (as defined in point 2) declares being authorized to mediate – based on a separate agency agreement – in contracts related to room reservations between the Facility and the Client.
  4. The Terms are made available free of charge to everyone.
  5. The Terms are accessible via the reservation system and the website of the Facility (as defined in point 2).
  6. The Terms are provided in a format allowing storage and reproduction in the ordinary course of business (HTML document). Upon Client request, the Service Provider will send a PDF copy to the Client's email address.

DEFINITIONS

The following terms used in the Terms mean the following:

  1. Facility– entity on whose behalf the Service Provider acts (under a separate agreement) as an agent providing electronic services, including the service described below;
  2. Client– any natural person over 18 with full legal capacity, legal person, or organizational unit without legal personality but with legal capacity, who meets the requirements specified in the Terms and uses the Service, especially makes or cancels bookings in the System;
  3. Terms– these Terms prepared and applied by the Service Provider;
  4. Agreement– room reservation service agreement concluded electronically, providing the Service described in the Terms;
  5. Service– room reservation service in the Facility, provided electronically by the Service Provider to the Client, enabling making, changing, canceling bookings and payment processing;
  6. Service Provider– Profitroom Sp. z o.o., based in Poznań, Roosevelta 9/3, registered at the District Court in Poznań, KRS 0000303746;
  7. Electronic Service– service rendered without simultaneous presence of the parties, via data transmission using electronic processing devices and telecommunications networks;
  8. IT System– a set of cooperating IT devices and software supporting data transmission and storage via telecommunications networks;
  9. System– Profitroom Booking Engine, owned and operated by the Service Provider, enabling Clients to make, change, cancel bookings and payments;
  10. Electronic communication means– technical solutions enabling individual remote communication including email and SMS;

TYPE AND SCOPE OF SERVICE

Under these Terms, the Service Provider provides electronically the service of making, changing, canceling room bookings and payment processing. The Service Provider does not conclude hotel service agreements on behalf of the Facility and is not obliged to provide other services except those related to booking modifications. Such agreements are made under conditions defined separately by the Facility.

Conditions for providing the Service are:

a. familiarity with and acceptance of the Terms by checking relevant boxes in the Service Provider's reservation form;

b. declarations made by checking relevant boxes in the reservation form concerning:

  • truthfulness of data provided;
  • consent to processing of personal data for service provision;
  • acknowledgement of voluntary data provision and rights under data protection law;
  • choice of payment method and VAT invoice if required by the Facility's pricing conditions.

Service provision requires complete submission of the reservation form and acceptance of the Terms and declarations as above.

Access to Internet and active correctly configured email account are required.

Service usage is voluntary.

Service is free, but Client may incur costs from internet providers, for which the Service Provider is not responsible.

  • Choice of hotel services based on System data, especially availability and price; prices are gross and include indicated services;
  • Entering required data (name, unique email, phone number) via the Facility's website offered System;
  • Confirming reading and acceptance of Terms and required declarations; failure prevents reservation completion;
  • Payment if required by Facility pricing;
  • After form completion and Terms acceptance, an automatic email with booking code and confirmation including payment terms and modification/cancellation rules is sent. Upon sending, the booking agreement is concluded.

The Service Provider reserves the right to refuse bookings if no available rooms. Clients will receive automatic notification in such case.

Reservation cancellation by Client involves:

selecting “Modify” option in booking confirmation email;

This opens the booking management system where the “Cancel” option should be selected and cancellation reason provided;

After cancellation, Client receives automatic confirmation email. If cancellation was free and payment made, amount will be refunded to the payment source.

Reservation modification by Client involves:

selecting “Modify” in confirmation email;

This opens the booking management system where “Modify” option is selected and modification request described;

The Facility will then contact the Guest to inform about modification status.

SERVICE PROVIDER'S OBLIGATIONS

The Service Provider is obliged to:

  • comply with these Terms;
  • perform services with due care.

In case of unplanned Service unavailability or failure, the Service Provider will diligently act to restore System functionality but is not liable for Client's inability to use Service or damages caused, except intentional fault.

The Service Provider reserves the right to block the email address of Clients violating these Terms or law.

The Service Provider does not guarantee uninterrupted Service and is not liable for interruptions due to technical, maintenance, Client or third-party issues.

  • Observance of Terms;
  • Compliance with laws, good manners, internet usage rules;
  • Correct Client data entry;
  • Promptly informing Service Provider of security or usage issues;
  • No actions endangering System or third-party IT systems;
  • No illegal or inappropriate use of System or infringement of third-party rights.

LIABILITY

The Service Provider is not liable for Service interruptions resulting from failures or defects beyond its control.

The Service Provider is not liable for errors by Clients in booking, changing, or canceling.

Clients bear full responsibility for incidents caused by violation of Terms, improper System use, or failure to secure their IT systems.

The Service Provider does not control or verify damages resulting from Client's use of the Service, including damage from software or hardware infections or failures.

No party shall be liable for damages caused by force majeure.

No liability for lost profits of Clients.

Exclusions or limitations of liability do not apply where prohibited by mandatory laws or to intentional damages.

  • Rights to access, correct, delete, limit processing, data portability, complaint submission, and rejection of automated processing as per data protection law;
  • Regulation updates, legal requirements, recommendations, system changes, new services;
  • Scope changes of Service Provider operations.

Invalidity of any Terms provision does not affect others.

Disputes arising from these Terms will be settled by the court competent for the Service Provider, except for consumer Clients governed by consumer protection laws.

Polish law applies. In matters not governed by Terms, Polish Civil Code, Electronic Services Act, EU GDPR, and relevant legislation apply.

Your data processing is based on Art. 6(1)(a),(b),(c), and (f) GDPR.

For inquiries, processed data includes name, surname, and email.

For newsletters, processed data includes email address.

For reservations and related services, processed data includes name, surname, email, phone number, and bank account number.

Data retention periods:

  • Inquiries – until response delivery, then 1 year;
  • Newsletter – until consent withdrawal;
  • Reservations and services – 3 years from data registration.

Data may be processed longer if required by mandatory laws.

Data is protected with technical and organizational measures as per regulations.

Data may be collected from third parties enabling hotel bookings.

Data is not collected from publicly available sources.

Your data will be transferred to Profitroom Sp. z o.o. to enable hotel room reservations.

Data may be shared with third parties responsible for payment processing, who are separate data controllers.

You have the right to:

  • access your data, its categories and recipients;
  • correct inaccuracies or complete incomplete data;
  • request data deletion or object to processing;
  • request processing restrictions;
  • data portability;
  • withdraw consent at any time;
  • file a complaint with the President of the Personal Data Protection Office if unlawful processing is suspected;
  • data will not be processed automatically or profiled.
